Catering Requirements. CATERING REQUIREMENTS.
ROOM AND RENTAL Sufficient function space has been allocated for your program.
Rooms will be confirmed when your program has been reviewed and finalized with our
Conference Services/Catering Department.
Room rental fees are applicable if no meal function is included in your program. We reserve the right to assign
rooms based on group attendance. SERVICE CHARGE A minimum of 25 people are required for all food functions. If this minimum is not met, a service charge will be added to your bill.
CONFERENCE AND PRIVATE FUNCTION SET-UPS Please discuss your
meeting arrangements with the
Conference Services/Catering Department to determine whether or not labor charges, equipment or special service charges apply. The hotel reserves the right to charge a service fee for set-up of
meeting and function
rooms with extraordinary requirements. DETAILS Entertainment, decorating packages, exhibits, flowers, photographer, additional lighting and power, and any other services are to be coordinated through our
Conference Services/Catering Department. BILLING Non-refundable deposit due within 14 days of booking. Payment of 50% of estimated charges due 30 days prior to event. Estimated balance due at least 72 hour prior to event. Request for direct billing must receive advance authorization and credit clearance. Contact
Conference Services/Catering Department for details. CANCELLATIONS A cancellation that is given within 60 days of the scheduled function is subject to a penalty fee and forfeiture of deposit.
AUDIO VISUAL
Audio visual services are available through a local supplier. Rates are quoted upon request. Arrangements can be made through our
Conference Services/Catering Department. LIABILITY The hotel reserves the right to inspect and control all private functions. Damages to the premises will be charged. GUARANTEES All final food and beverage guarantees must be received by the
Conference Services/Catering Department a minimum of 72 hours prior to the function. All menus and prices are subject to change. Food and beverage prices will be guaranteed 6 months prior to the scheduled event. All charges will be based upon the guarantee, or the actual number of guests served if greater than the guarantee. The guarantee may be increased within 72 hours (within reason), but not decreased. BEVERAGES Hotel policy requires that all liquor consumed on premises be purchased from the hotel. SIGNAGE All signs, posters, banners, etc. must meet hotel policy and be approved by the
Conference Services/Catering Department. DELIVERIES All deliveries must be arranged through your
Conference Coordinator. Due to limited storage facilities, it may be necessary to arrange drayage at client's expense. Special arrangements must be made with the Royal Plaza in advance for receiving equipment, goods, displays, or other materials brought to the hotel. Failure to do so may result in deliveries being refused. Service charges are applied to all packages delivered to the hotel. Your
Conference Coordinator can advise you of the amount of the applicable charges. AUTHORIZED SIGNERS Approved individuals to sign master account invoices are to be specified no later than 30 days prior to your scheduled function. TAX EXEMPTION Groups that reside in the State of Florida and are Tax Exempt, are required to submit a copy of the registered Exemption Certificate 21 days prior to the scheduled function. Tax Exemption does not apply to organizations which reside outside the State of Florida. PERSONAL PROPERTY The hotel cannot assume responsibility for personal property and equipment brought into the
banquet areas prior, during or following the
banquet or
meeting. Arrangements may be made for
security of exhibits, merchandise, or article setup for displays prior to the planned event with your
Conference Coordinator as outlined above. MISCELLANEOUS All federal, state and local laws relating to food and beverage purchases and consumption will be strictly enforced. The legal drinking age in the State of Florida is 21 years. ALL PRICES ON OUR MENUS ARE SUBJECT TO APPLICABLE STATE SALES TAX AND 21% GRATUITY.
